The sheet was right in April
Every practice keeps one. Client name, company number, year end, four date columns, colour-coded by hand. It is accurate the week it is written.
Then a client shortens an accounting period. Two companies incorporated in March never make it onto the sheet. Nothing looks wrong, because a spreadsheet cannot tell you it has gone stale.
You find out in an envelope. £150, addressed to your client, for accounts you were sure were on the list. You write off the fee to make it go away, and the client remembers it for longer than you do.
Three steps, then it runs on its own
Paste the company numbers
One per line, or a CSV pasted straight out of your practice software. DueFirm takes the first field that looks like a company number and ignores the rest. Importing the same number twice is safe.
The dates fill themselves in
Company name, status, accounts date and confirmation statement date come from Companies House. Corporation tax payment is period end plus nine months and a day, the CT600 plus twelve months. The first 40 clients sync while you wait, and a longer list finishes overnight.
Email arrives before anything is late
30 days out, 7 days out, and the day before. Once a month, a digest of the next 45 days with anything overdue at the top. Every client is re-checked daily, so a date that moves moves here too.

Every client is re-read from the register each day, not just the day you added them. When a year end changes or a company is struck off, the dashboard shows it the next morning.
Corporation tax dates, worked out
Companies House does not publish CT deadlines, so DueFirm derives them from the accounting period end: payment at nine months and one day, CT600 at twelve months.
One list, sorted by what is closest
Every client on one screen, soonest deadline first, with a red, amber or green badge on the day count. Counts for this month, next month and overdue sit across the top.
Reminders that escalate, and a monthly digest
A reminder at 30, 7 and 1 days, each naming the client, the filing and the date. On your chosen day of the month, a digest of the next 45 days with overdue items first.
It tells you when it does not know
If a sync fails, DueFirm does not quietly show last month’s date as though it were fact. The row is marked “could not verify” with the date it was last checked, and an overdue reminder says the filing may be overdue rather than that it was missed.
You can always tell a date confirmed this morning from one DueFirm is no longer sure about.
Why the dates matter
Companies House applies a late filing penalty automatically, from the day after the accounts deadline. There is no warning letter and no discretion.

Do I need my clients’ login details?
No. DueFirm reads the Companies House public register, which anyone can search. You never hand over a client’s Government Gateway account, and DueFirm is not registered as your agent with HMRC.
Which deadlines does it track?
Four: annual accounts and the confirmation statement, both from Companies House, plus the corporation tax payment date and the CT600 date, both worked out from the accounting period end.
VAT, PAYE and self assessment are not in the product today. They are next on the list, and we would rather say so than imply otherwise.
How long does setup take?
A few minutes. Paste your company numbers and the first 40 clients are looked up while you watch. The rest are queued for the overnight run, so a 200 client practice is fully populated by the next morning.
What happens if Companies House is down, or a number is wrong?
The client stays on your dashboard with the last date DueFirm confirmed, flagged as unverified and stamped with the date it was last checked. Nothing is hidden and nothing is silently refreshed. Reminders for that client say “may be overdue” rather than claiming a filing was missed.
Can I enter a date myself?
Yes. Any client can be switched to manual dates, which stops the daily sync overwriting what you entered. Useful when you know something the register has not caught up with yet. You can hand it back to automatic sync at any point.
Who gets the reminder emails?
One notification address per practice, which you set in Settings along with the day of the month you want the digest. Point it at a shared inbox if more than one person needs to see them.
